The competition office (Yokohama International Violin Competition Office, hereafter referred to as “the Office”) establishes the following policy to protect personal information (name, email address, phone number, address, and any other information that can identify an individual, hereafter referred to as “personal information”) obtained and used in its operations, and is committed to implementing necessary measures and continuously maintaining and improving these measures.

  • 1. Purpose of Using Personal Information: The Office will use personal information only within the scope necessary for business purposes such as responding to inquiries and providing services.
  • 2. Management of Personal Information: The Office will take preventive and safety measures to prevent unauthorized access, alteration, destruction, loss, or leakage of personal information.
  • 3. Provision of Personal Information to Third Parties: The Office will not provide personal information to third parties, except in the following cases:
    • With the individual’s consent
    • When required by law
    • When outsourcing services
  • 4. Disclosure, Correction, and Deletion of Personal Information: Upon request from the individual or their representative for disclosure, correction, or deletion of personal information under the Office’s control, the Office will respond within a reasonable range after verifying the identity of the requester. However, the Office may not respond if it harms the interests of third parties or significantly impedes the Office’s operations.
  • 5. Improvement of the Personal Information Protection Policy: The Office will comply with laws related to personal information handling and periodically review and improve this policy.


Other Important Notes on Participation in the Competition

  • • Visa Acquisition: Participants are responsible for obtaining any visas required for entry into Japan. If any documents are needed, participants should promptly notify the Office. The competition cannot guarantee visa issuance. No refund of the participation fee will be made if a participant is unable to obtain a visa and cannot travel to Japan.。
  • • Insurance and Damage Compensation: The organizers will not generally compensate for any physical, material, or mental harm or damage caused to or by participants during the competition or any associated events. It is the responsibility of each participant to arrange their own insurance.
  • • Copyright: All rights to performances, interviews, and events organized by the competition, including radio and TV broadcasts, internet distribution, recording, and photography, belong to the organizers. This includes the right to distribute and sell recordings, photos, and videos on various media. Participants agree to be recorded and photographed by participating.
  • • Protection of Personal Information: Collected personal information will be managed according to Japanese law and used only for competition operations.
  • • Governing Law: Japanese tax law applies to any allowances, prizes, and fees paid to participants.


Important Notices

  • • Inquiries that are excessively long, exceed common sense, repeated excessively, or indicate a lack of understanding may not be responded to. The same applies if deemed as harassment or if unable to follow instructions.
  • • Inappropriate behavior towards the competition, jurors, staff, or spreading such behavior on the internet or social media, including slander, verbal abuse, threats, or legal action, may result in disqualification, a ban from future participation, venue entry bans, revocation of awards, and possible compensation claims from the Office.
